Full Time - Experienced
Assistant to the CEO -
Enhance the CEO’s effectiveness by providing support, scheduling, and other tasks as assigned.
Maintains appointment schedule by planning and scheduling meetings, conferences, and travel
Administers the CEO’s major fundraising calendar, in coordination with the Advancement team.
Welcomes guests and patrons by greeting them, in person or on the telephone
Protects operations by keeping information confidential
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information
Volunteer Coordinator -
Cultivate a corps of volunteers to help with administrative functions of the Philharmonic.
Serves as liaison with the Colorado Springs Philharmonic Guild
Ensures consistent in-office administrative volunteer help
Recruits and orients new administrative volunteers
Directs administrative volunteer duties
Rewards and recognizes administrative volunteers for their service
Secretary to the Board -
Ensure the Board’s success by arranging meetings, maintaining records, and monitoring compliance.
Sets bi-monthly board meeting times and locations, and communicates schedules to the Board
Prepares board materials, organizes refreshments, and takes minutes at board meetings
Oversees regular correspondence with the Board
Ensures governance documents are in order and reviewed regularly
Staff Assistance -
As directed by the CEO, assists staff members for the general success of the Philharmonic. Staff assistance may include:
Taking Patron calls for RSVPs, subscriptions, or various other needs
Appointment scheduling assistance
Occasionally moving boxes or equipment
Other duties as assigned by the CEO
An appreciation for classical music and the work of the Philharmonic
Certificate or diploma from an accredited school of higher learning
Advanced typing and business writing, as well as agility using Microsoft Windows 10 operating system
Ability to speak confidently, professionally, and naturally with patrons, donors, and community leaders
Highly developed interpersonal and problem solving skills
Experience using Microsoft Word and Excel (especially mail-merge), database software, and aptitude for learning new technologies quickly
Professional acumen, personal aplomb, and the confidence to represent the CEO and the organization
Reliable transportation to and from various locations, availability for occasional night and weekend work, the ability to occasionally move objects weighing 20-40 pounds.
Additional Salary Information: Generous benefits including individual health, dental, vision, and life insurance; IRA matching up to 3% of base pay; parking; and concert tickets.
