The Epic Patient Access Applications (EPAA) Analyst provides production support of Epic system applications based on specific needs of UW Medicine locations. In addition, the EPAA Analyst will participate in business analysis, technical analysis, design, build, testing and implementation of enhancements and project activities related to revenue cycle applications.
The EPAA Analyst is responsible for technical troubleshooting and analysis of Epic-related issues, including on-call support during evening and weekends (rotating schedule with team members). The EPAA Analyst will also work closely with business operations to design and implement solutions to improve the revenue cycle performance of the medical centers and other UW Medicine entities. The EPAA Analyst is required to understand workflows in order to design and execute software solutions that solve business problems. Project management and project execution on small to medium projects may be required.
This position reports to the Epic Patient Access Applications Manager and works closely with other IT Analysts, Operations Analysts and Managers from UW Medicine Neighborhood Clinic (UWNC) sites, Hall Health Primary Care Clinic, UW Medical Center (UWMC), Eastside Specialty Center, Harborview Medical Center (HMC), Seattle Cancer Care Alliance (SCCA) and Northwest Hospital (NWH). The EPAA Analyst will also work closely with Business Analysts, Medical Center support staff, Clinic Managers, Department Heads and affiliate IT Services departments to coordinate the appropriate use of the Epic systems.
Proactively Monitor and Maintain Systems (30%)
Coordinate change requests and incident tickets, including tracking and prioritization of change requests/tickets.
Coordinate and/or participate in required testing of change requests and incident tickets using standard methodologies.
Follow required UW Medicine Change Control processes to ensure proper approval, coordination, and communication of systems changes.
Maintain system and application tables in production, test, and training environments.
Monitor system outputs for integrity and error identification.
Act as a liaison between systems to ensure data integrity and information flow.
Perform problem resolution including analysis and troubleshooting for application issues.
Manage and maintain issue tracking, internally and with vendor.
Perform system configuration/ development changes necessary to develop and/or maintain the application.
Assist in the requirements gathering, development, and testing of system interfaces.
Maintain system certifications.
Liaise with Site Business Analysts and End Users (20%)
Assist in resolution of application and process problems.
Answer calls and provide information on application use and process issues.
Work closely with the UW Medicine IT Services Help Desk to provide efficient and responsive support to end user staff.
Provide supportive and positive mechanisms for reporting application and system deficiencies, and facilitate reporting of suggestions for system improvements.
Using quality improvement principles, monitor system impact on user and departmental workflows and incorporate results into system enhancements.
Attend or lead user advisory committees as required.
Act as quality assurance liaison between application system end users and system developers.
Act as a liaison and/or facilitate communication between end users and IT Services system administrators, other analysts and programmers.
Work with user groups to provide diagnostic assistance, resolution to questions, and problem direction. This includes assisting user groups with filing of issue and problem reports, and routing system problems to IT Services.
Maintain clear and consistent communication with all levels of user groups regarding changes to systems.
Act as focal point for distributing information and providing assistance in understanding and using system required inputs, and expected output.
Develop and Maintain System Documentation (15%)
Document system and business requirements.
Create test plans and scripts for system and user acceptance testing.
Document current proposed date flows.
Identify need for and document support plans.
Assist with and document the development of new standard operational procedures.
Provide internal training for IT Services staff.
Maintain training system, as per training system services level agreement.
Analyze Business Processes and Procedures (10%)
Analyze current and proposed business practices.
Recommend new process improvements.
Evaluate possible vendor solutions and system products.
Observe and interview employees regarding operations and procedures.
Act as an expert resource to UW Medicine staff by anticipating and identifying educational, procedural and functional problems associated with the implementation of all new applications.
Meet with customer to identify system needs.
Set appropriate expectations of customer requirement fulfillment
Lead cross-functional project teams.
Provide functional expertise to optimize the design and development of systems.
Demonstrate, evaluate, and test prototype and production systems.
Manage and Perform Project Tasks (10%)
Responsible for the successful completion of assigned project tasks.
Test assigned configuration and/or development tasks for usability, performance, and adherence to standards.
Manage implementation of sub-projects.
Report progress on assigned tasks to project manager.
Track detail status of each task.
Perform and report results of application and system testing.
Organize and track detail of application and integration testing.
Create project documentation, including monthly status report to stakeholders and sponsors.
Follow required Change Control processes to ensure proper approval, coordination, and communication of project tasks.
Manage Vendor Relationships (5%)
Primary contact for daily operations with external vendors.
Manage and coordinate system or application upgrades with external vendors.
Provide Regular Status Reporting and Time Allocation Updates (5%)
Provide weekly project time tracking and status reports.
Provide regular status to management, customers, and stakeholders.
Other Duties (include but are not limited to) (5%)
Act as a backup for other Application Support team members and functions, as needed.
Complete ad-hoc system and/or process analysis/ documentation.
What you'll bring to the table: (minimum requirements)
Bachelor's degree in Health Information Management, Computer Science or other related field or equivalent combination of education/experience.
4+ years of successful experience in providing application support including recent experience configuring or implementing Epic EHR systems.
Familiarity with healthcare revenue cycle operations.
Demonstrated ability to outline software implementation work plans and meet deadlines.
Proficiency using desktop computer and MS Office applications, including Excel, Word and SharePoint.
Ideally, you'll also have: (desired skills and experience)
Background in practice management systems such as ADT, Registration, Scheduling and Referrals.
Recent experience with healthcare revenue cycle operations.
Recent experience with formal project management methods.
Familiarity with IT practices and software development lifecycle.
