The Center for Health and the Global Environment (CHGE) at the Harvard TH Chan School of Public Health is the pioneer in developing the worldview that human health is inextricably linked to the health of the environment. The Executive Assistant provides a wide range of complex office administration and support to Gina McCarthy, Director of the Center for Health and the Global Environment. The Executive Assistant also provides up to 10 hours per week for Dr. Aaron Bernstein, Associate Director of CHGE. The Executive Assistant works independently performing a wide range of high-level and confidential administrative and clerical support duties.
Typical Duties include:
Manages complex calendars, arranges for meetings, appointments
Responsible for coordinating travel arrangement and creating itineraries – domestic and internationally
Provides wide ranges of support including: keyboarding, composing and editing letters, memoranda, reports, lecture/course materials, presentations, and cases
Prepares copy for publication or submission of grant proposals and/or reports
Acts as liaison with related programs or projects at other universities or with government agencies, keeping the supervisor informed of relevant information
Reviews, assesses, routes, answers and monitors follow up action steps on correspondence.
Gathers and analyzes information required for administrative reporting
Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications
Answers and routes phone calls, mail and e-mail messages and may handle wide-range information dissemination
Schedules, plans and prepares for small and large scale meetings and events
Purchases and maintains inventory of supplies for the Center
Prepares reconciliation of credit card purchases and receipts
Additional duties as assigned

5+ years of related experience; a combination of education and experience may be considered.
BA/BS degree strongly preferred. Familiarity with Concur (Harvard's A/P system) is preferred. MS Office, including Word and Power Point.
The ideal candidate will be experienced and resourceful with the capacity to interact professionally and productively with other faculty, staff, students, researchers, and the lay public. He/she will possess proven administrative skills in a high profile, deadline-driven environment. Must have strong verbal/ written communication skills, as well as exceptional organizational skills. S/he will be comfortable in an environment that calls for discretion and confidentiality. A marketing, media or customer service orientation would be helpful.
