This position oversees the daily operation and logistical administration for all meetings and events located in the Student Union by organizing building security; assisting in planning, implementing, developing and evaluating procedures; policy enforcement; and being the first point of contact for guests using space in the Student Union. This includes coordination of building management duties, overseeing technical support for events coordinated through the Student Union, and involvement in the purchasing and upgrading resources and technological capabilities in the facility.
Event Production - Coordinate transportation and delivery of equipment to other buildings on campus and to the Ellensburg community; oversee site security; address public safety and issues; oversee on-site coordination and delegation of staff and volunteers for shows of up to 10,000 people; and oversee tear down of events - Create best practices and train staff to set up, operate, and supply technical support of audio equipment (such as amplifiers, mixing boards, speakers and microphones), video equipment (such as Blu-Ray / DVD players, projectors, and projection screens), laptop / desktop computers (Mac and PC), lighting and staging equipment - Review and advise on tech riders from contracted talent for University events - Subcontract the use of equipment rentals when in-house stock is insufficient to fulfill event specific technical needs - Utilize the 25Live scheduling software, process paperwork for charge / credits and other contract billings - Review and adjust event invoices before passing billing to administrative staff - Remain current with laws and regulations pertaining to events, from state laws, OHSA regulations, fire codes, and the University policies
Inventory Management - Implement accounting and resources using 25Live. Maintain and update the inventory database on a regular basis - Research and purchase new products and replacement parts as equipment fails and technology changes
Program Support - Provide customer service, technical advice, and event production schedule to assist faculty, staff, students and off-campus groups and provide general information about the campus and community, etc. - Assist in the development of procedures and policies to govern use and fees relating to these services - Perform work using knowledge and experience specific to the Events Program. Assist in planning, implementing, developing and evaluating practice; devise and implement new procedures; assist with budgets and project income expenditures; oversee all event and rental charges and manage allotted budgetary monies - Provide general support for Student Union & Recreation Center customers including Operations, Information Center, and room setups as required - Serve on committees pertaining to large events on campus such as homecoming, commencement, and family weekend
Supervisor Duties - One full-time staff as well as a team of 6 - 7 student employees. - Actively engages in recruitment and hiring new employees - Schedules employee work hours / shifts; monitor hours worked; approve payable time and absence requests - Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring - Conduct formal performance evaluations, and take corrective action in a timely manner - Train staff in best practices for facility and event safety - Train staff best practices for cleaning and maintaining audio-visual equipment; coordinate maintenance tests, replacement of lamps, to make and repair cables, switches and other interconnecting or auxiliary equipment - Train staff how to use a man lift, change, adjust, and maintain lighting systems - Promote professional development opportunities, and ensure employees have necessary resources - Develop and foster supportive working relationships, motivation and engagement - Communicate information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community - Recognize and rewards employees for good performance - Adjusts leadership style as needed to achieve results - Recognizes value of and promotes diverse workforce. Event management experience and / or training that demonstrates the ability to work effectively with internal and external clients and customers to identify their needs, provide information or assistance, resolve their problems and / or satisfy their expectations by providing quality services
Experience using Microsoft suite package (Word, Excel, PowerPoint, Outlook, Visio), and / or similar software applications to prepare correspondence, process billing, technically assist customers, etc.
Ability to establish and maintain effective working relationship with others
Valid Washington State Driver's License
OR applicable combination of education and / or experience which demonstrates the ability to perform the essential functions of the position
Degree in Event Management, Theatre Production, Music Production, or similar fields
Experience supervising full-time staff and coordinating personal development plans (PDPs)
Working Conditions: Office and indoor/outdoor work is required. Work is performed with frequent in-person interactions. It is essential to be able to meet the physical demands of remaining at a desk/computer work station for prolonged periods of time, using repetitive arm, hand and finger movements. Frequent stooping, kneeling, bending, crouching, lifting, walking, carrying or moving of objects often weighing 50lbs or more, and other movements is required. Some evening or weekend work and/or occasional travel will be required.
