The Project Management Specialist directly supports the Release Manager, the PMO Manager, and Project Managers in managing information that is deeply integrated into the overall design, development, test, release, and operations processes for ProviderOne, a large-scale mission-critical management information system. The ideal candidate will be experienced in handling a wide range of administrative and project support related tasks, adept at learning new tasks within an overall context, and able to work with little direct supervision after completion of training. This person must be well organized and produce quality work with accurate results.
The successful candidate will be called upon to interact with clients and staff (at all levels), demonstrate flexibility and drive with respect to work assignments, and be proactive, resourceful and efficient. Assigned work requires professionalism, confidentiality, decision-making ability, and attention to detail.
The Project Management Specialist will:
Support the Release manager and Release processes
Monitor and contribute to the flow of OTRS tickets and JIRA issues, from creation through closure; assist other users in the timely completion of assigned tickets/issues; and escalate exceptions
Enter data and extract reports of a routine and non-routine nature
Prepare agendas, take notes, and distribute minutes for client and internal meetings
Prepare and maintain reports, schedules, presentations and other documents, using Word, Excel, Project, database applications, PowerPoint and other tools (for example, P1 release calendar)
Support the PMO manager and portfolio management processes
Maintain and analyze the Portfolio Data Set, basic information on all active projects
Analyze the "planned vs actual"? labor hours for multiple small-to-medium sized change orders and escalate exceptions
Coordinate charge code updates and labor hour reporting with the Project Control Office
Contribute to the visualization of workload related to CRs and major projects
Draft monthly and ad hoc presentations
Support the Project Managers and project management processes including CMMI-DEV Level 3
File, maintain and retrieve files using SharePoint and OneDrive; work with PM and team members to collect and store necessary artifacts and support periodic quality audits
Maintain project schedules and calendars
Lead discussions of risk, issues, lessons learned, and action items; track items and escalate as needed.
Work with clients and colleagues in person, and via phone, email, and Skype
Learn existing processes and procedures, follow them, and contribute to continuous improvement
Prioritize and manage multiple assignments simultaneously
Follow through on issues in a timely manner
Demonstrate a positive and professional attitude and working relationship with all company and client staff
Other duties as assigned, including assistance to the Office Manager, special projects, and overflow work

Bachelor's degree plus 1-year project support experience, or Associate's degree plus 3-5 years project support experience, in an Information Technology environment.
Experience creating and maintaining MS Project schedules and Excel reports, and using SharePoint portals
Experience contributing to and extracting reports from database applications, including building queries and filters
Strong MS Office skills, including Word, Excel, PowerPoint, Outlook and Project
Excellent oral and written communication skills
Following skills would be a "PLUS"?:
Strong skills in presenting information and facilitating meetings
Experience contributing to and editing information stored in SharePoint and creating and maintaining documents in Visio
PMI Certified Associate in Project Management
Certification in one or more Microsoft applications
Formal training/certification in a nationally recognized Quality management discipline (ISO, CMMI, Six Sigma, ITIL, etc.)
Experience in a healthcare, insurance, or government environment
