Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the Rutgers China Office at Rutgers Global. Reporting to the assistant vice president for Global Affairs, with a dotted line to the senior program coordinator of Global Student and Professional Programs, the incumbent in this position coordinates all programs and events for the Rutgers China Office, and oversees day-to-day operations of the office under general supervision, within established work parameters, and with few direct instructions. As needed, the incumbent acts as translator and/or interpreter, for example by providing interpretation for training programs from China and translating marketing and training materials.
The Program Coordinator I provides support to global programs that attract non-matriculated students and professional learners around the world to Rutgers, which bring in much-needed external revenue resources through educational/training programs and generate significant income to support Rutgers faculty and students' international initiatives. The Program Coordinator I is responsible for marketing, negotiation, program planning, understanding the China Strategy, developing a supporting network to serve schools, providing extensive effort to generate revenue, and constantly improving and developing new procedures to increase the effectiveness of planning, organizing and delivery. The goal is to create new and strengthen existing comprehensive and strategic relationships with selected Chinese universities in humanities, social sciences, and sciences, particularly in those rapidly developing fields with major strategic importance to the university, and to expand the number of Rutgers students in China and highly qualified Chinese students at Rutgers.
Among the key duties of the position are the following:
Represents Rutgers China Office in meetings or events internally or externally.
Develops and maintains effective and meaningful relationship within and/or outside the unit, including contacts with senior-level executives at the university, senior officials in government and embassies, and senior-level international government and academic officials.
Schedules appointments and manages China Initiatives' and other offices' calendars in a proactive manner.
Manages the planning and execution of events, meetings, and programs, including preparation of invitation letters, logistics, activities, and materials, and ensures compliance with university, state, and government policies, regulations and budgetary constraints.
Arranges and coordinates training and education programs conducted by Rutgers Global – Professional Development and Training, arranges visa process with Chinese clients and Rutgers visa/immigration officers, and assures the compliance with all Rutgers university policies and regulations.
Performs extensive and detailed preparation for travels of China Initiatives and other Rutgers leadership delegation members (for Rutgers New Brunswick, Newark, Camden, and RBHS), and all senior-level Chinese university delegations and visitors, including compiling of detailed travel itineraries, preparation of briefing packets and promotional items, and facilitation of visa applications for faculty and students if necessary.
Monitors budgets, analyzes data, updates assistant VP with budget activities and account balances and prepares financial reports for internal or external purposes.
Minimum Education and Experience:
Bachelor's degree or an equivalent combination of education and/or experience
Two years of professional experience
Required Knowledge, Skills, and Abilities:
Must be able to read, write, and speak both English and Mandarin Chinese.
Ability to work with diverse international constituencies
Ability to communicate effectively with foreign partners and domestic audiences as needed
Demonstrated strong experience in program planning and coordination, with the ability to focus on program creation and execution
Skills in balancing project priorities and time management
Strong teamwork spirit and interpersonal skills
Ability to travel domestically and internationally
Master's degree in international study, management, education, social sciences, or a related field
Understanding of and experience with higher education and state or local government, community development, or economic development
Knowledge of and experience in China
Experience in financial planning and program budgeting
Physical Demands and Work Environment:
Some night and weekend work is required.
Must be able to lift up to 40 pounds.
Must have reliable access to transportation and a valid New Jersey driver license.
