The Entertainment Software Association (ESA) which represents the leading U.S. publishers of computer and video games, is searching for an Events Manager. This is a full-time position reporting to the Chief Financial Officer. This position primarily works in collaboration with various departments to be a key contributor in driving the events management support to promote ESA’s visibility. As a mid-level manager, the Events Manager will produce events from conception through completion and may require some travel and the ability to work long hours while at events.
This position actively contributes to the development and growth of ESA’s event management needs and activities. Responsibilities include, but are not limited to, maintaining a universal guest list of attendees for events, coordinating with vendors for fulfillment of event related orders, processing vendor invoices, scheduling meetings as needed for event planning purposes, and pre & post-event setup and support as well as onsite help.
Primary Duties & Responsibilities:
Deliver meeting planning from concept through execution using association resources to manage tasks, food/beverage needs, audio visual and volunteer/staff schedules as appropriate.
Externally source catering, linens (if needed) and other logistics and manage contracting process. Also may source venues for offsite events as needed
Internally source A/V, video game system, or other technology related needs for each event
Serve as primary point of contact on site for major events to manage teams, vendors and event workflow
Manage guest registration and setup sign-in table as needed for large events
Coordinate with Office Manager to ensure compliance with building security and safety obligations
Manage all event details such as décor, catering, entertainment, transportation, location, special guests, equipment, promotional material distribution, removal/return of lobby furniture, etc.
Support event planning in person and virtually as needed
Provide ideas to improve provided services and event quality.
Liaise with internal teams to identify their needs and to ensure customer satisfaction
Conduct pre- and post-event evaluations and report on outcomes. Any damages should be promptly reported to the Office Manager
Collaborate with Communications and Government Affairs teams to promote and publicize the event as appropriate
Arrive early to receive caterers or other vendors delivering event materials requested
Manage shipments for all events and conferences held off-site, including keeping an organized schedule through the year of all events, working with shipping vendors, and staff alike to ensure expectations are met with receipt and return of any event materials needed
Coordinate tours of ESA office for guests as needed
Other duties as needed
Skills & Abilities
Ability to manage multiple priorities, working effectively to meet deadlines with strong attention to detail and organizational skills
Ability to communicate and coordinate with all levels of staff, both inside and outside the organization
Ability to be creative, energetic, and passionate about managing successful events
Proficiency with general office software including MS Office Suite (Word, Excel, PowerPoint), event management software programs, and other computer functions
Ability to lift at least 25 lbs and stand for long hours at a time
Ability to travel approximately 10-15%

Education and/or Experience Required
A bachelor’s degree from an accredited institution in Marketing, PR, Hospitality or related field
Excellent written and verbal communication skills
Knowledge of and passion for the video game industry preferred
At least 3 years demonstrated experience as an events planner or organizer; outstanding project & vendor management and network building skills
