Reports to the Senior Manager, Educational Development, and Accreditation.
The Educational Grants Associate is responsible for facilitating, managing and reviewing a large portfolio ($2-3M) of contracts between Partnering Institutions, and Industry Sponsors who provide educational grants and marketing support to Continuing Medical Education (CME) activities. Industry Sponsors are primarily for-profit organizations in the medical industry (ie: Pharmaceutical Companies, Device Manufacturers, etc).
Specific responsibilities include:
Manage, review and negotiate contract terms for commercial support/exhibitor agreements for CME accredited courses with partnered institutions (17 Affiliated Hospitals), and Industry Sponsors.
Review and edit grant agreements to ensure all necessary conditions and policies are included and met, including ACCME Standards of Commercial Support, Harvard Medical School, Continuing Medical Education and the ACCME policies and regulations, as well as state and federal regulations
Develop and manage tracking mechanisms for commercial support data collection required for analysis, internal reporting, and ACCME-required reporting, as well as develop and manage tracking mechanisms for commercial support-related receivables Identify and resolve issues that arise throughout the lifecycle of an award and ensure data integrity
Lead and coordinate grant application and reconciliation processes for HMS accredited courses
Maintain and foster positive relationships with hospital program directors and administrators and departments receiving grants, as well as with administrators at pharmaceutical and medical device companies
Communicate proactively with internal/external clients on grant-related matters and problem resolution
Maintain a current and in-depth understanding of policies and regulations that govern the area of receiving education grants from industry, and serve as a source of policy interpretation and communication to all stakeholders
Contribute to the development of policy updates in the area of grants
Develop educational materials and communications to update and educate client community in the area of grants
Prepare and review educational grant proposals for internal HMS GCE courses
Works with the Program Administrative Coordinator team to ensure that all disclosure forms are collected and reviewed for relevant financial relationships and that documentation is provided for the resolution of conflicts of interest process.
Create disclosure statements or other documentation to communicate disclosure information to the learners prior to the CME activity for compliance with CME standards and regulations.

- 5+ years of related experience in a professional or academic setting is required. Education beyond high school may be considered for the experience requirement.
