Maret School is looking for an organized, flexible, multi-tasker for our Administrative Operations Coordinator and Receptionist position. This person is the first face/voice and impression of Maret - an upbeat and positive attitude is a must. This coordinator oversees the day-to-day operations for our community. An ideal candidate has a “can do” and flexible attitude, great communications skills, a collaborative spirit and experience overseeing projects. The coordinator reports directly to the Assistant Head: Finance & Operations and is an integral part of the operations team. S/He will also be the primary coordinator with Ridgewells Catering Service - the food service for our daily cafeteria needs and all of our special events.
Answering all switchboard calls
Maintaining the internal/external school-wide calendars
Maintains and coordinates the all-school master facilities calendar
Working with the Director of Buildings and Grounds to coordinate field trips and event setups
Collecting/processing all field trip and event forms
Work with Assistant Head: Finance & Operations on outside rentals, scheduling and contracts
Distributing visitor badges to guests
Helping facilitate fire drill and evacuation procedures
Assisting faculty and staff with various projects & mailings
Greeting all visitors who come to campus
Managing student attendance
Assisting in the production of the New Faculty Resource Guide
Scheduling all events/room assignments on campus
Distributing all van keys to faculty and staff
Assisting with ISW (Intensive Study Week) logistics including transportation, room scheduling, food, etc.
Conducting weekly "calendar" meetings with Quick and Haute account manager and on-site kitchen manager
Ordering food for all events, meetings, retreats and field trips
Working directly with an event designer from Ridgewells catering to plan larger annual events i.e. Senior Dinner, Graduation, Faculty Barbecue, etc.
