NAILBA is the voice of independent brokerage distribution. We are looking for a rock star meeting planner and member service magician to join our all-star team.
This position is responsible for providing project management for all activities of the NAILBA Annual Meeting, Board and Committee Meetings or Conference Calls, Webinars, representation at industry conferences and any additional meetings (collectively referred to below as “events”). Additionally, this position will oversee management of member benefit programs and partners in conjunction with Membership department.
Responsibilities include, but are not limited to:
Provide project management for all activities for NAILBA Annual Meeting:
Develop timelines for each event.
Assist with development of budget for each event.
Manage expenses for all events, ensuring that they are within the confines of that event’s budget.
Assist in evaluation and selection of meeting vendors/suppliers for all events.
Assist in coordination of meeting related travel and ground transportation for association leadership
Serve as the primary on-site staff person responsible for all event activities.
Manage on-site staff (including temporary help) activities for all events.
Work with Exhibit/Sponsorship sales staff to fulfill sponsorship agreements.
Work with Exhibit/Sponsorship sales staff to efficiently, effectively and economically mange the operations of NAILBA exhibit halls.
Work with appropriate association leaders and committees to develop ideas for themes, sessions, and speakers and to make all necessary arrangements.
Work with Communications staff to develop printed event marketing and promotional materials.
Work with appropriate association leaders and committees to develop ideas for educational products and services.
Maintain inventory of meeting materials
Coordinate and manage convention shipment
Respond to phone, email and mail inquiries for information about NAILBA meetings and events
Staff Liaison to all governance and membership committees
Prepare and distribute minutes for any meetings of assigned committees.
Identify and evaluate potential event locations based on event requirements.
In conjunction with CEO, negotiate agreements with chosen facilities
Other duties as assigned.

Three to five years professional experience in mid to large meeting/ conference planning;
Association background is preferred
Additional hotel background a plus.
CMP designation preferred.
Bachelor’s degree in hospitality or related field and 3-5 years of experience in association events; or equivalent combination of education and experience.
