Under the direct supervision of the Records Center Manager, the Records Analyst performs Records Center lifecycle activities, including tracking, circulating, and destroying UW Medicine records stored at the Records Center. The position ensures accurate data entry into database systems such Versatile Enterprise (VE), ORCA, and Request Tracker (RT). In addition, this position assists with the overdue notification process and auditing and scrubbing VE. This position performs special projects for the Records Center as assigned, such as inventory audits and records dispositions (destruction or preservation).RESPONSIBILITIES:Assists the Pathology Specialist with circulation activities, including shelving, processing, pulling, refiling, delivering records, and tracking metricsPerforms data entry in the records management software application (VE) in an accurate and timely manner; utilizes VE scanners; reviews, edits, and runs reports; maintains necessary documentation regarding analysis and data entry decisionsAssists with records overdue notifications, including running reports, tracking activities and responses, and any related documentationAssists the Database and Content Analyst with auditing VE entries, including reviewing and checking data entry, scrubbing, and analysisTracks information and metrics/statistics and reports to Records Center ManagerPerforms Records Center lifecycle duties such as labeling, shelving, pulling, moving, delivering, and picking up medical records and other records from clients based at Northwest Hospital, UWMC, HMC, other UW Medicine entities and affiliated locations in an accurate and timely matterEnsures and documents chain of custodyProtects and ensures confidentiality of PHI, and adheres to policies regarding confidentiality and security of recordsAssists with disposition (destruction or preservation) of records that have met legal retention, confirms and tracks dispositions in an accurate and timely mannerPerforms other duties or special projects as assignedREQUIREMENTS:Bachelor's Degree AND one year of experience in records management work. Additional qualifying experience may be substituted, year-for-year, for required education.
