Cornell Cooperative Extension of Wyoming County CAMP WYOMOCO has an opening for a temporary, seasonal, Summer Camp Office Assistant for the 2019 season (late-May through mid-August 2019).
Under the direction of the Leadership Team, the Camp Office Assistant will be responsible for assisting with day-to-day administrative office functions of a comprehensive summer camp program serving approximately 165 residential campers, day campers, and 50 staff.
This is a residential summer camp operating in July and August. Camp Office Assistant is not required to live on camp property but housing is available if desired.
Physical requirements include bending, lifting, sitting, standing, stooping, stretching, and walking, Hand-eye coordination, manual dexterity, and a normal range of eye-sight and hearing required to communicate with staff and manipulate camp equipment. Must operate with daily exposure to the cold, heat, rain, sun, and varying other weather conditions, as well as under irregular working hours in a camp environment. Administrative Responsibilities Assist camp leadership team with the daily administrative operations of summer camp including preparing and maintaining paperwork, mail, e-mails, opening & closing of camp, inventory, incident reporting, orientation of staff and campers, fire safety plans, scheduling day-to-day programs, etc. Act as initial point of contact for campers, parents, and staff. Answer phones, check and return messages, check and respond to emails, and assist with on-site visitors or vendors as necessary. Manage incoming and outgoing camp mail on daily basis. Contact parents to ensure all records and payments are complete prior to camper arrival. Collect and process summer camp registration payments. Maintain accurate payments, billing, and camper balance due reports. Collect, process, organize, and maintain camper registration forms, health forms, and payments. Utilize camp database(s) to maintain, prepare and print accurate reports for on-site registration, checkout, class/activity scheduling, attendance lists, cabin assignments, payment confirmations, health forms, emergency contacts, billings and weekly statistics. Assist with preparation of materials for pre-season and in-service trainings, workshops, electronic and digital media presentations. Coordinate and facilitate weekly on-site registration check-in of resident campers on Sunday. Coordinate and facilitate safe and efficient weekly checkout of resident campers on Friday afternoon. Coordinate and supervisor the safe and efficient daily check-in/check-out of day campers throughout the week. Maintain Camp photos. - Take photos at activities focusing on action shots and camper close-ups. - Export photos from cameras to computer daily. - Maintain organized and backed-up digital files. - Edit photos for social media and/or marketing use. - Post photos to social media daily. Update Camp website as necessary. Prepare and process staff ID photos and cards/lanyards. Assist with maintaining camp program supplies/inventory and assist with purchasing of supplies, as necessary. Prepare and submit expense reports and/or vouchers in a timely manner per established policy and procedures. Maintain open but professional communication with staff, parents, and campers. Work closely with Leadership team to insure camper and staff safety in all activities. Be familiar with all emergency procedures. Thoroughly understand camp emergency action plans and help implement procedures if/when necessary. Assist with completion, transmittal and filing of First Aid Forms and Incident Reports according to established policy and procedures. Maintain office cleanliness and organization. Transport self, supplies, and/or resources as necessary.EEO/EPO, Health and Safety, and Other Duties Arrive on time for all scheduled activities and duties. Participate in all required orientation, training, and/or in-service meetings and trainings as scheduled/required. Maintain a clean, professional, well-groomed appearance while on duty keeping in compliance with the Association and Camp Dress Code Policy at all times. Observe curfew and/or quite hours each night. Keep all relationships on a platonic basis during camp hours and camp season. Be familiar and strive to follow any applicable federal, state, local regulations, association health and safety policy/procedure/requirement and standard. Assist Supervisor with implementation of camp crisis management plan and/or emergency management procedures as required. Ensure the safety and well-being of program participants at all times. Act proactively to prevent accidents/injuries, maintain a safe environment, and communicate hazards to supervisors when identified. Adhere to program standards including safety and cleanliness standards. Assist Supervisor with implementation of camp crisis management plan and/or emergency management procedures as required. Appreciate and embrace diversity in all interactions with staff, campers, parents, volunteers and the public. Interact with campers, staff, parents, families, and the general public in a professional manner at all times. Ensure complete confidentiality of sensitive information regarding campers and staff at all times. Carry out assignments and other duties as directed by supervisor.REQUIRED QUALIFICATION: High School Diploma or equivalent education. Experience relevant to the position. Experience with computer systems and software including Microsoft Suite, spreadsheets, databases, accounting procedures, and good business practices. Experience with social media (i.e. Facebook). Demonstrated ability to use and maintain databases of information. Valid drivers' license, proof of insurance, and access to reliable transportation. Daily and/or occasional travel may be required. Ability to work flexible hours which include evenings and weekends. (Camp sessions run Sunday through Friday). Ability to meet acceptable background check standards. Ability to transport/move supplies and equipment with or without reasonable accommodation. Ability to climb stairs, walking on uneven terrain in all types of weather in an outdoor/indoor setting with or without reasonable accommodation. Ability to clearly communicate (speak, read and write proficiently) in English. Ability to interact with campers, staff, parents, families, and the general public in a professional manner at all times. Ability to follow oral and written instructions and assume responsibility with general guidelines and direction. Strong organization skills and attention to detail. PREFERRED QUALIFICATIONS: Associate's Degree or technical/vocational school degree in business, human resources, secretarial science. Camp Administration experience preferred. Experience in record keeping, data management, customer service and general office functions. Knowledge of accounting and record-keeping procedures for camp/youth programming. Knowledge of 4-H Camp and 4-H Youth Development Programs and related procedures. Current/Active Notary Public License.
