Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for the Ernest Mario School of Pharmacy. This position reports directly to the Health Outcomes, Policy and Economics (HOPE) Director. The Administrative Coordinator manages daily operations of HOPE research projects and develops future proposals. Common activities include scientific review of published evidence to support protocols, papers, and proposals, subject recruitment, case/participant validation, interviewing, maintaining secure filing systems and databases, interfacing with the Institutional Review Board (IRB), and monitoring progress toward achieving study timelines and objectives. The Administrative Coordinator interfaces with faculty, staff, and graduate students in the office as well as co-investigators from multiple institutions. This is a unique opportunity to engage in research from conception to completion.
Among the key duties of this position are the following:
Organizes a telephone schedule and call records to participants, attend study meetings and performing related duties as needed.
Organizes in-person and virtual meetings with current and potential HOPE research partners and develops agendas, materials and presentations related to HOPE research.
Procures travel, meeting room/space reservations, and supplies related to HOPE research projects, visiting scholars/guests, exhibits, and conferences.
Arranges and coordinates advisory and working groups, planning sessions, and other research-related meetings.
Maintains participants' records in electronic database and ensures their confidentiality; Performs data entry and rudimentary analysis under the guidance of a research analyst or investigator.
Develops and administers research surveys, informed consent forms, and adverse event forms to research participants in compliance with study protocols and under the supervision of HOPE investigators.
Performs searches of the literature and other forms of medical, economic, and policy evidence to support HOPE research; Researches potential government, corporate, and foundation supporters.
Ensures that IRB requirements are met for new submissions, amendments, and continuing reviews; maintains a tracking database of HOPEIRB approvals.
Prepares and submits administrative documentation necessary for HOPE grants and contracts such as other support documents, just in time documents, statements of work, project timetables, and biosketches.
Serves as a liaison by communicating with and providing administrative information to financial and business operations staff at the program, department, school, and university levels.
Minimum Education and Experience:
Requires a bachelor's degree in a related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of research coordination, organization, facilitation, writing, and communication.
Requires a minimum of two years relevant experience in research program coordination and/or research administration.
Required Knowledge, Skills, and Abilities:
Experience in writing research proposals, papers, posters, and/or presentations.
Ability to prioritize tasks in a fast-paced environment with multiple competing demands
Exceptional organizational and record-keeping skills
Skills and motivation for effective partnering and/or maintaining collaborative relationships in successful initiatives.
Proficiency in clinical research project management
Prior IRB training and experience in submitting research to an IRB
Flexibility with work hours to accommodate deadlines, data collection on evenings and weekends, and occasional travel
Clear and effective oral and written communication skills
Must have strong work ethic and problem-solving skills
Must be able to work independently and be a team player
Use of personal vehicle in order to travel for business demands; a valid driver's license would be required for this position.
Master's degree in a discipline relevant to the position
Experience with Adobe Acrobat Writer, Access, and/or Visio
Computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, and PowerPoint
Physical Demands and Work Environment:
Ability to travel to study sites for data collection and quality assurance monitoring, periodically by car within a 4-hour distance or other means of transportation if beyond 4 hours
Occasional travel to conferences, site visits and meetings may be required
Possesses own vehicle for transportation from one site to another
This position may occasionally be required to work outside of normal business hours
