Job Requisition Number: 26439. Berkeley Regional Services (BRS) is comprised of six (6) 'service regions' that provide local high-quality administrative support to their groupings of schools, colleges and departments.
Berkeley Regional Services (BRS) also provides central services to campus in the areas of: •Onboarding for newly hired employees •Benefits and Leaves support •Visas support •Records Management
Administrative Support •Provide assistance and back-up support to coordinate all pre-meeting and post meeting activities such as: agenda items, background materials, room locations, transportation, notifications, equipment set up/take down, conference calls, catering, notes, follow-up on action items, and minutes. •Organize, label/code, update and maintain project documents and artifacts by posting current documents, removing out-of-date information and redundancies. •Type forms and memos. Answer telephones, check email, take messages, keep calendar and other project activities up to date. •Publish and distribute project calendar including cut off dates and cut over activities.
Customer Relations and Other Duties •Maintain professional communications with supervisor, co-workers, project team members and other campus departments. •Participate in project staff meetings. •Communicate and provide feedback to supervisor on the status of workload, ability to meet deadlines, and how filing system is performing. •Offer suggestions for changes/improvements. •Provide assistance and back-up support to the HRIS Specialists in the unit as needed. •Perform other duties as assigned.•Front line customer service experience and effective customer service skills •Computer experience and data entry skills including intermediate to advanced skills in Word and Excel •Accurate data entry skills •Ability to meet constant deadlines •Ability to set priorities and complete assignments with frequent interruptions •Excellent aptitude for details and organizational skills •Verbal and written communication skills •Ability to work independently and as part of a team •Legible handwriting •Punctuality and flexibility •Ability to work overtime as needed This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
