The Director of Business Operations will report to the Chief Operating and Financial Officer and will be a key leader of the school’s 55-person operations team. The Director of Business Operations will be responsible for leading the business office, dining operations, facility rental and extended year (summer and after school) programs.Experience in school financial and operational functions is essential to lead these areas.
Buckingham Browne & Nichols School operates on three academic and one administrative campus, and prioritizes the need to build connections across the Lower, Middle, and Upper School programs.Visibility of key operations staff is an importantcomponent to building these connections.The Director of Business Operation will be an important leader in contributing to the development and strengthening of the diverse, inclusive, positive, and supportive BB&N community and climate .
BB&N is in a period of transition with a new Head of School, Chief Operating and Financial Officer, and other leadership team members.Operationally, there is a desire to build on the strong existing processes to create more efficiencies and further implement best practices and systems.The Director of Business Operations would collaborate with multiple teams on these projects.Additionally the school is working to finalize its strategic plan over the summer of 2019 and a campus master plan at the end of the 2018-2019 school year.The work to support and implement the outcomes of these initiatives will be an important part of the school’s leadership.The Director of Business Operations will have a key implementation role in these efforts.The Director of Business Operations is a new role at BB&N necessary due to the increasing complexity of the organization and need to support best practice financial, governance and operational excellence.
The Director of Business Operations will work with various members of the Senior Leadership Team and other school leaders and will have the following responsibilities:
Oversee operations of the business office, dining services, facilities rental and extended year programs and support the growth and professional development of the staff in these areas
Work with the existing team to prepare the audit and reporting materials that are provided to the Board and Committees (Audit and Finance) and participate in these board meetings
Ensure the maintenance of appropriate financial records and preparation of required financial reports, including quarterly and ad hoc reporting.
Build upon the existing systems to enhance the integrated, robust and effective system of internal controls around accounting, cash, and other business operations functions.
Oversee the annual budgeting, budget monitoring, and financial analysis processes, and work to continuously improve these processes, many of which were implemented in the 2018-2019 school year.Partner with other school leaders and budget managers to support theirwork in understanding and analyzing the budget data as it connects to the work of the school.
Oversee the cash management plan and the school’s cash flow position. Establish credit and collections and purchasing policies and schedules for the payment of bills and financial obligations.
Overseedining services,andsupport the Director of Dining Services in his efforts to manage the Upper School cafeteria, lunch services for faculty and staff, the afternoon NAC Café operations, and catering operations.
Work with Athletics and the Business Office team to ensure processes and procedures are in place to support external rentals.
Support the extended year (summer andafterschool) team in their efforts to run a $1.5 million program serving BB&N and community children from greater Boston.
Set up processes for analysis of the school’s auxiliary operations including dining services,transportation, extended year services, external rentals and others.
In partnership with the Director of Facilities establish and execute programs for the provision of the capital, including negotiating the procurement of capital and maintaining the required financial arrangements.Coordinate the long-term plans, assesses the financial requirements implicit in these plans and develops alternative ways in which financial requirements can be satisfied.
Assist the Chief Operating and Financial Officer in implementing relevant components of the strategic and campus master plans.
Oversee the preparation and filing of all income tax and financial reports of the school.
Near term critical project that the Director of Business Operations will have responsibility over include:
An overhaul ofthe business office financial accounting system and potentially a full integration of this system with the other major business systems of the school (SIS, fundraising, enrollment).
Expansion of diningservices to include all campuses (currently only students on the upper school campus receive lunch).
Systemization of the budgeting process.
Systemization of the quarterly close process.
Creation of financial benchmarking data suitable for management and board level review.
Working with the Director of Technology and Director of Facilities to implement aSchool-wide security and debit card program across campuses.
The ideal candidate will be a seasoned and provenschool leader with deep experience in all aspects of business office, dining and school auxiliary services operations. At least 7-10 years of direct experience in school business operations and, specifically, fund and non-profit accounting
Experience in managing large teams and programs.
Master’s Degree in Business Management or related field strongly preferred.
